How to control content visibility

Not all content should be shared with prospects, and not all content needs to be visible to every team member. Content Camel gives you two visibility controls on every asset: whether it's shareable externally, and whether it appears in the main library.

The two visibility toggles

Shareable Externally

Controls whether the asset can be shared outside your organization via links.

  • On (default) — The asset can be shared via engagement links, included in sites, and accessed by recipients

  • Off — The asset is internal-only. Share and link buttons are disabled on the asset card, and no external links can be created

Use this for internal-only content like pricing guidelines, competitive intel, or draft materials that shouldn't reach prospects.

Include in Main Library

Controls whether the asset appears in the main library for all team members. This toggle is admin-only.

  • On (default) — The asset appears in the library for everyone on the team

  • Off — The asset is private. Only the uploader and admins can see it. It won't appear in other team members' search results or library views

Use this for work-in-progress content, assets being reviewed before release, or content targeted at a specific team that shouldn't clutter everyone else's library.

Where to set visibility

During upload

When adding new assets, expand the Visibility section in the upload dialog. You'll see both toggles:

  • Shareable Externally — toggle on or off

  • Include in Main Library — toggle on or off (admin-only; regular users see a disabled toggle with "Only admins can change library visibility")

Assets uploaded directly into a collection default to private (not in main library). Assets uploaded to the main library default to visible.

On existing assets

Open any asset's Quick View panel or full Detail page and click the Visibility button in the toolbar. A popover appears with both toggles:

  • Changes save automatically—no submit button needed

  • A toast confirms the change: "Asset Visibility Updated" or "Asset set to private"

When "Shareable Externally" is off:

  • The Copy Link button shows "Internal asset - not shareable"

  • The Create engagement link button is disabled

  • The Preview button shows "Asset is Internal. No share preview available"

Best practices

  • Default to visible — Most content should be shareable and in the library. Only restrict when there's a specific reason

  • Use "Internal only" for competitive intel — Battlecards, competitive analysis, and internal pricing docs should have external sharing disabled

  • Use "Private" for staging — Upload content as private while you're tagging and organizing it, then make it visible when it's ready for the team

  • Communicate visibility changes — If you make previously visible content private, let affected team members know so they understand why it disappeared from their library
