How to control content visibility

Not all content should be shared with prospects, and not all content needs to be visible to every team member. Content Camel gives you three controls on every asset: whether it's shareable externally, whether it appears in the main library, and whether people can download the original file.

Controls whether the asset can be shared outside your organization via links.

• On (default) — The asset can be shared via engagement links, included in sites, and accessed by recipients

• Off — The asset is internal-only. Share and link buttons are disabled on the asset card, and no external links can be created

Use this for internal-only content like pricing guidelines, competitive intel, or draft materials that shouldn't reach prospects.

Controls whether the asset appears in the main library for all team members. This toggle is admin-only.

• On (default) — The asset appears in the library for everyone on the team

• Off — The asset is private. Only the uploader and admins can see it. It won't appear in other team members' search results or library views

Use this for work-in-progress content, assets being reviewed before release, or content targeted at a specific team that shouldn't clutter everyone else's library.

Controls whether the original file can be downloaded. This one works together with your workspace-wide download settings — see [Controlling downloads](#controlling-downloads) below.

When adding new assets, expand the Visibility section in the upload dialog. You'll see both toggles:

• Shareable Externally — toggle on or off

• Include in Main Library — toggle on or off (admin-only; regular users see a disabled toggle with "Only admins can change library visibility")

Assets uploaded directly into a collection default to private (not in main library). Assets uploaded to the main library default to visible.

Open any asset's Quick View panel or full Detail page and click the Visibility button in the toolbar. A popover appears with the toggles:

• Changes save automatically—no submit button needed

• A toast confirms the change: "Asset Visibility Updated" or "Asset set to private"

For decks, the same controls live in the Visibility & Sharing section of the deck's Details tab.

The Visibility menu is only available to the asset's owner and to admins.

When "Shareable Externally" is off:

• The Copy Link button shows "Internal asset - not shareable"

• The Create engagement link button is disabled

• The Preview button shows "Asset is Internal. No share preview available"

# Controlling downloads

Downloads are controlled in two places: two workspace-wide defaults that apply to all content, and a per-asset override for exceptions.

Go to Settings → Workspace → General and find the Content Downloads card. Both settings are admin-only.

Recipients viewing a shared site can download the original file.

• On (default) — Recipients viewing a shared site or link can download the original file

• Off — The download action is removed from the asset page on your public sites for every visitor

Non-admin team members can download assets from inside the app.

• On (default) — Team members can download assets from inside the app

• Off — Download actions are hidden for non-admin team members across the app: the Download Asset action on asset detail and quick-view panels, the Download button in a deck's Quick Actions, the download icon on published deck versions in the History tab, and the DOWNLOAD button in the site asset preview and add-asset dialogs

Both settings are on for every existing workspace — nothing changes until you turn one off. The two settings are independent: turning off library downloads does not affect your public sites, and vice versa.

Sometimes one asset needs to differ from the workspace default — a case study you're happy for anyone to keep, or a sensitive deck that should never leave the browser even though downloads are generally allowed.

Open the asset's Visibility menu and use the Allow downloading toggle. It has three states:

When an override is set, a Reset to workspace default link appears under the toggle. Use it to clear the override and go back to following the workspace setting.

The rule is tighten-only for non-admins:

• Any owner or admin can deny downloads on an individual asset, even when the workspace allows them

• Only admins can allow downloads on an individual asset when the workspace default is off. If a non-admin tries, they'll be told: "Only an admin can allow downloads on this asset while the workspace default is off"

This means a marketing admin can turn downloads off workspace-wide and trust that reps can't quietly re-enable them, while still granting exceptions themselves for specific assets.

Inside the app, admins can always download, regardless of the workspace setting or any per-asset denial. Download controls are there to govern what your team and your recipients can do, not to lock admins out of their own content.

This exemption applies inside Content Camel only. On a public site there is no admin concept — if downloads are off for an asset or for sites generally, every visitor sees the same thing, including you.

Turning downloads off never hides your content. Viewing and preview are untouched:

• Assets still appear in the library, in search, in collections, and on sites

• Inline preview still works — PDFs, images, video and Office documents still render on the page

• Link assets are unaffected. A link has no file to download, so its VIEW action always remains

One wording note for public sites: on an asset that previews in the browser (like a PDF), the button that disappears when you turn off site downloads may be labelled VIEW rather than "Download". The inline preview below it stays, so visitors can still read the document — they just can't pull down the original file.

Set expectations with your team: these controls remove download actions from the interface. They're a strong deterrent and the right tool for keeping sensitive material from being casually passed around, but they aren't digital rights management. A determined technical user viewing a document can still capture what's on their screen. For genuinely confidential material, combine download controls with "Shareable Externally" off.

• Default to visible — Most content should be shareable and in the library. Only restrict when there's a specific reason

• Use "Internal only" for competitive intel — Battlecards, competitive analysis, and internal pricing docs should have external sharing disabled

• Use "Private" for staging — Upload content as private while you're tagging and organizing it, then make it visible when it's ready for the team

• Decide downloads at the workspace level first — Set the two workspace defaults to match your policy, then use per-asset overrides for the handful of genuine exceptions rather than managing every asset by hand

• Turn off site downloads for pricing and proposal decks — Recipients can still read them in the browser; they just can't circulate the file

• Communicate visibility changes — If you make previously visible content private or turn off downloads, let affected team members know so they understand why an option disappeared
