How to manage personas

Different prospects need different content. A CTO evaluating your platform cares about architecture and security; a VP of Sales cares about ROI and case studies. Personas let you label content by target buyer, so sales reps can quickly filter the playbook board to see only what's relevant for the person they're talking to.

Enabling personas

Personas are an optional taxonomy. To enable them:

1. Go to Settings > Content Organization 2. Click the Optional tab 3. Find the Personas card and toggle it on

Once enabled, persona filters appear in the Playbook filter bar and segment creation forms.

Creating personas

1. On the Personas card, click the + button 2. Type the persona name (e.g., "CTO", "VP Sales", "IT Director", "End User") 3. Press Enter to save

Repeat for each buyer persona your team sells to.

Editing a persona

Click the pencil icon next to any persona to edit its name inline.

Deleting a persona

Click the trash icon next to a persona to remove it. This removes the filter option but doesn't change any content that was already tagged with that persona.

Where personas appear

Playbook cards

When an asset has persona metadata, the playbook card shows a "Best for:" section with persona badges (e.g., "CTO", "VP Sales"). Up to 3 personas are displayed; additional ones show as "+N more".

Playbook card detail panel

Click a card to open the detail panel. The "Best For" section shows all assigned personas alongside industries, regions, and product lines.

Playbook filter bar

The Persona dropdown in the playbook filter bar lets users filter the board to show only content tagged for specific personas. When a persona filter is active:

  • In Fade mode — non-matching cards become semi-transparent and grayscale

  • In Hide mode — non-matching cards disappear entirely

Each column header updates to show a filtered count (e.g., "3/6 assets").

Playbook segments

Personas can be included in saved segments. When creating a segment, the Personas section shows all available personas as toggle pills. Select one or more to include them in the segment's filter criteria.

How personas get assigned to content

Persona values on assets are managed through the backend metadata fields (persona / contentPersona). Currently, personas are assigned via:

  • CSV bulk import — Include a "Persona" column in your import CSV

  • AI Smart Categorization — When enabled, AI may suggest persona assignments

  • API — Set the contentPersona field on assets via the API

Personas do not appear as an editable field on the standard asset detail view.

Best practices

  • Keep the list focused — 3-6 personas is ideal. Too many makes filtering unwieldy

  • Use role titles — "CTO", "VP Sales", "IT Director" are clearer than "Technical Buyer" or "Economic Buyer"

  • Align with your sales methodology — Your persona list should match how your sales team actually thinks about buyers

  • Tag content consistently — Persona filtering only works if content is consistently tagged. Use bulk import or AI categorization to apply personas at scale

  • Create segments — Save common persona + industry combinations as segments so reps can switch between audiences with one click
